Leading the way is our new Salesforce integration, combining the power of your ERP and CRM data like never before. From hyper-targeted communications to dynamic workflows, this integration keeps your customer and sales data perfectly synchronized, giving you actionable insights at your fingertips.
But that’s not all. We’ve also rolled out major enhancements across the Customer Portal, Payment Management, Workflow Automation, and Reporting, all designed to give you more control, visibility, and flexibility.

1. Salesforce Integration
Wooah! Kolleno and Salesforce integration is here!
Now Kolleno seamlessly integrates with Salesforce, enabling you to leverage a powerful combination of ERP and Sales CRM data. With this integration, you can utilize any Salesforce fields to filter your customers or dynamically populate your email templates, allowing highly personalized and targeted communications.
This integration updates automatically once a day, ensuring your sales data remains synchronized and accurate. And if that wasn’t enough: Kolleno can both push data (from Kolleno to Salesforce) as well as pull data (from Salesforce to Kolleno).
By merging your ERP data with Salesforce, Kolleno provides comprehensive insights and enhanced customer interactions, optimizing your workflow and driving more effective results.
2. Customer Portal Sign-in
We are introducing a new Customer Portal Sign-In feature. Your customers can access their personalized portal with the following capabilities:
- Sign in using a one-time password instead of accessing via magic links only.
- View all their invoices and payment history in one place.
- Easily download invoices and make payments.
- Update contact and billing information securely.
This feature gives your customers more control and a better user experience, while also improving security and reducing support requests related to access issues.
3. Payments and Payouts – Global Visibility
You can effortlessly track Payment Service Provider (PSP) payouts, manage Kolleno Payments (PSP payments) with options for refunds and synchronization status checks, and directly access payments recorded in your ERP system.
You were already able to view Payments (ERP) and Kolleno Payments from the Customer Hub, but these new views provide you with global lists across all your customers.
4. Allow to contact by Email via the Customer Portal
You can control which email addresses customers see on the Customer Portal when they want to get in touch. Choose which contacts are visible based on email profiles and customer portfolios, ensuring customers always reach the right team without confusion.
5. Manually Stop a specific Workflow run
You can now manually stop a specific workflow run for any customer directly from the customer hub. This gives you more control over active workflows without needing to disable the entire workflow rule.
Key highlights:
- Stop only the current run without affecting future executions.
- Ideal for handling one-off exceptions or customer-specific needs.
- All stopped runs are clearly marked in the workflow history for traceability.
To use this feature, navigate to a customer profile, open the Workflow tab, and click “Stop this run” next to the active workflow.
6. Workflows Alerts to detect Anomalies and Optimization Suggestions
Kolleno is making it easier to catch issues before they escalate. Kolleno now provides alerts directly within the platform for any anomalies in your workflows. Whether a workflow fails to start, ends prematurely, or encounters unexpected behavior, you’ll be notified immediately—no need to check emails or external systems.
These alerts help you:
- Identify broken automations before they impact operations
- Quickly investigate which step failed and why
- Take corrective action directly from the alert panel
This is part of Kolleno’s ongoing effort to make workflow management more transparent and reliable.
7. Workflow – Action to Remove a Tag
You were already able to automatically add tags in your workflows, and you can now also remove tags.
8. Customize Columns on Your Customer Portal
Kolleno has introduced a feature that allows you to choose the columns displayed on your Customer Portal. This enhancement provides greater flexibility in presenting information to your customers, enabling you to tailor the portal’s appearance to better suit your business needs.
With this update, you can decide which columns are visible, adjust their order, and ensure that the most relevant data is prominently displayed. This customization helps improve the user experience for your customers and ensures that critical information is easily accessible.
9. Include the Customer Statement inside your Email Templates
This is a new smart field to email templates: the Smart Field for Customer Statements. You can now insert your customer’s account statement directly into the body of your emails—no links needed.
This feature improves visibility, speeds up collections, and keeps everything clear for your customers—right in their inbox.
10. View Filters Used in Reports
This is an easy way to identify the filters applied to your reports in Kolleno. You can quickly see applied filters directly within the Reports section via an information icon next to each report or by viewing the dedicated “Filters” sheet in your downloaded reports.
This update ensures greater transparency, enabling you to efficiently review and manage your reporting data.
11. Synchronizing Payments Surcharge Fees to Business Central
Kolleno automatically syncs surcharge fees to Microsoft Dynamics 365 Business Central, alongside customer payments.
When a customer pays through Kolleno, the net payment is posted to their ledger, and any surcharge fees are logged directly in your General Ledger under the designated processing fees account.
Kolleno also captures the actual fees charged by your payment provider, giving you complete visibility over both income and costs, automatically, with no manual input needed.
12. Average Days Late (Weighted) per Customer
Understanding customer payment behavior just got more accurate.
With the new Average Days Late (Weighted), Kolleno highlights the true impact of late payments by factoring in invoice size. Bigger invoices now have more influence, helping you prioritize high-risk customers and protect your cash flow more effectively.
No setup needed — it’s live and working for you today.
13. Contact Source and Invoice Link
Kolleno has made it easier to access and manage your contacts directly in Kolleno. When looking at your list of contacts, you will see exactly what field in your ERP imported it, as well as the invoices applied to it.
No need to jump between systems — everything is now accessible directly in Kolleno.
