"The moment we had everything in one place, it changed how we operated. We could finally see the full picture, what was overdue, what needed action, and where the risks were. It gave us control we just didn't have before."
00 / About the company
Avery Law, founded in 2012 and headquartered in London, is a boutique law firm specializing in corporate, commercial, and cross-border legal matters for startups, scaleups, and international investors.
As the firm took on increasingly complex deals and a growing international client base, its finance operations hadn’t kept pace with the rest of the business.
01 / The Problem
Avery Law’s legal work was fast and modern, but the finance side was still running on spreadsheets. Issuing statements, reconciling payments, and tracking invoices meant exporting data from Clio, formatting it by hand, and updating trackers one at a time, with none of it connected to the case management system Clio itself. “We were doing great work for our clients, but behind the scenes, we were stuck in spreadsheets,” says David Turney, Co-founder and Partner.
With no central place to see the whole receivables picture, collections became a guessing game: follow-ups were missed or duplicated, and nobody could easily tell which accounts actually needed attention. That started showing up with clients too, some got chased for payments they’d already made, others waited days for a receipt that should have taken minutes. “We hold ourselves to high standards when it comes to client experience, so chasing a payment twice or taking days to send a receipt wasn’t acceptable,” Turney says. “But without the right system, these things kept slipping through the cracks.”
"We were constantly toggling between Clio and spreadsheets, just to make sure the numbers lined up. It felt like we were spending more time moving data around than actually managing our receivables."
02 / The Solution
Kolleno was the only platform Avery Law found that combined a legal-ops-friendly interface with real automation and a direct link to Clio. “As soon as we hopped on a demo with Kolleno, we realized it was the solution we needed,” says Turney. “No other provider came close in terms of the functionality and visibility it offered.” Client, case, and invoice data now flows between Clio and Kolleno automatically, so the moment an invoice is generated in Clio, it appears in Kolleno too. “The Clio integration was non-negotiable for us. With Kolleno, everything just flows, no more copying data between systems, no more double-checking records,” Turney says.
Every outstanding balance, client communication, and task now lives on one dashboard instead of scattered folders and email chains, so the team can spot an at-risk account before it becomes a real problem. Reminders and escalation emails go out on their own too, adjusting tone and timing based on client behavior and payment status, each one personalized rather than generic. “Clients get timely, professional updates without us needing to think about it, and we step in only when it really matters,” Turney says.
Clients can now view and pay invoices directly through a secure, open banking payment portal, with no attachments or manual bank details to copy, and payments settle in seconds.
"Kolleno's payment portal made things easier for everyone, clients pay faster because the process is seamless, while we spend far less time on follow-ups or reconciling payments."
03 / The Impact
In the first three months, 90+ day overdue balances dropped 75%, the number of overdue invoices fell 21%, and median days late came down 7%.
Collections moved from a manual, reactive process to something that runs quietly in the background. Fee-earners and back-office staff spend their time on relationships and complex queries instead of chasing payments, and because legal and finance now work off the same data through the Clio integration, the two teams collaborate more easily than before.
04 / Implementation and Experience
Kolleno’s workflows adjust as they go, reading client behavior and payment status to decide when a reminder should stay friendly and when it needs to escalate, without a person setting each rule by hand. Every interaction gets logged automatically too, so the team has full context the moment they need to step in personally, instead of starting from scratch.
Kolleno’s team configured workflows and reporting around Avery Law’s own setup, importing historical invoice data and mapping client records straight from Clio before go-live. “We expected a learning curve. Instead, we were up and running within days,” says Turney. Training took just one session, and the team credits the pace to the people behind it: “Kolleno’s onboarding team was fantastic. They took the time to understand our unique challenges and proactively solved them for us.”
