"Kolleno stood head and shoulders above the other platforms we reviewed. It gave us exactly what we needed, a single platform where we could keep track of everything related to accounts receivable."
00 / About the company
With 25 years of expertise in life safety and security protection and compliance, Amthal is one of the nation’s trusted life safety and security technology partners. Accredited by NSI, UKAS, and BAFE, the company delivers complete, compliant fire and security protection for businesses across the UK, backed by a busy finance operation managing receivables across a wide base of active contracts.
At Amthal, no two days look the same. With a busy portfolio of fire and security contracts across the UK, the team is always on the move, installing systems, managing maintenance, and staying ahead of safety regulations.
01 / The Problem
As Amthal’s business scaled, so did the pressure on its finance team. More clients meant more invoices, more queries, and more complexity, and the tools in place were never built to keep up. Without a centralized AR system, the team ran collections across fragmented spreadsheets and QuickBooks notes, with no single view of an account.
That gap showed up everywhere. Chasing payments was inconsistent, customer queries went unresolved or unnoticed, and promises to pay were tracked manually. When someone was out of office, it was hard for the rest of the team to pick up where they left off. Disputes were especially fragile, and without system-level support some were revisited later than ideal.
02 / The Solution
Kolleno gave the team one place to work. Customer data, open invoices, payments, and credits sync straight from QuickBooks into a single, live view of every account, removing double data entry and making sure collections are always based on the most up-to-date information. The disconnected setup was replaced by one source of truth, so anyone can step in with full visibility into customer histories, promises to pay, and open disputes.
Automated workflows then took over the repetitive work. The system chases invoices based on schedules, payment history, and customer behavior, with follow-up frequency adjusted by customer type or invoice age. Promises to pay are logged automatically, pausing a workflow when a commitment is made and reactivating it if the promise is broken. Disputes are flagged, categorized, and tied to follow-up tasks with due dates, so nothing drags on through oversight.
03 / The Impact
In just six months, the change was clear. Amthal cut median days late by 77%, reduced invoices 1 to 30 days overdue by 61%, and saw a 91% drop in invoices over 60 days overdue. Balances that once aged quietly now get collected far sooner.
Automation reduced the manual workload, the task manager brought structure to daily operations, and disputes became easier to flag, track, and resolve. With real-time reporting and the QuickBooks integration, the team gained complete visibility over its receivables pipeline, spending less time reconciling accounts and more time resolving issues and chasing high-priority balances.
04 / Implementation and Experience
"We were positively surprised at the onboarding experience. To be honest, we expected it to be a lot longer and more complex, but Kolleno got us up and running quickly."
Kolleno’s automated AR workflows handle the chasing that used to eat up the team’s week. Reminders go out automatically based on each account’s schedule, payment history, and behavior, and promises to pay are tracked inside the process rather than in a spreadsheet. If a customer does not pay when they said they would, the system picks it up on its own, updates the account’s risk profile, and reactivates the chasing workflow.
Amthal’s move to Kolleno was smooth from day one. The onboarding team gave hands-on support, cleaning up legacy data, merging duplicate accounts in QuickBooks, and configuring workflows to match Amthal’s internal processes. Early issues, such as handling unapplied credits, were resolved collaboratively with tailored guidance at each step.
